Ana Meštrović kicked things off by unpacking the inner mechanics of a typical gaming localization project. Far from being just a matter of converting words from one language to another, gaming localization, especially at scale,  involves:

One of the most impactful moments came when Maja Pavlinušić shared the story of Resetna, a game that required deep localization to maintain its immersive and cinematic experience. 

“It was very important to really have this, I’d say, very, very good translation and localization because it is not something that you can just, you know, translate easily. You really need to look at it as maybe almost a movie… because it really needs to be immersive. And Ciklopea helped us achieve that for Resetna.” 

Her words highlighted how localization is intertwined with the creative identity of a game. It’s about transcreation, not translation, ensuring that the game resonates emotionally with players from different linguistic backgrounds.

“When localization is done right, you forget it’s even there, you’re just immersed in the world. But when it’s bad? It pulls you out instantly. You notice it.” 

He also emphasized how today’s players are increasingly discerning and appreciative of quality localization, and how language access often influences their purchasing decisions.

Lukas Schwitzer rounded out the conversation by speaking to the art and nuance behind great localization. For him, the magic lies in the balance between accuracy and creativity. “Good localization requires a feel for the rhythm, tone, and pacing of a game. You need to understand the world the developers created, and then rebuild that world for a different audience without breaking immersion.” 

He also stressed the importance of playing the game or working with gameplay footage, to ensure context is never lost.

Naturally, we were first curious to learn more about Yuka’s career path and whether she always knew she’d be working as a localization expert:

I didn’t become a globalization strategist because I “wanted to.” A tree doesn’t want to become a tree, it grows as a tree because that’s what’s written in its DNA. I am naturally good at seeing the big picture, viewing things from different angles, and critically thinking about every option. I suddenly realized that what I create and execute is a strategy while talking to my coach one random day.

Creating a global strategy requires standardization and a combination of international and multinational strategies. So how does one become a globalization strategist? Yuka underlined the importance of doing things and experimenting while connecting the dots:

To be a strategist, you need to know the subject matter deeply enough and widely enough as a practitioner. I’ve been in different positions in different layers in the industry. I know lots of things well enough and in a connected way to relate everything, and it is knowledge I acquired by doing – not by reading about it.
That’s some golden advice for you right there!

AI has been in the localization industry for a while

With DALL-E officially available to the general public, Google’s LaMDA, and Metaverse – the fast development of AI and tech are in our focus. We were curious to find out how Yuka perceives these events, and what are some of the technology-related trends she’s noticed in the localization industry:

An increasing amount of commoditization and industrialization are happening in the industry, and even more with recent investments. Tools have become further diversified and sophisticated. Machine translation seems to be accepted and now we are moving forward with different types of artificial intelligence (AI).
As Yuka explains, AI exists in so many forms and on various levels. If you’re working in the localization or translation industry, you’ve likely already relied on it:

I sometimes roll my eyes when localization or translation professionals cite AI as something that they don’t know well or they don’t use much. We are one of the leading industries in terms of real AI usage – machine translation itself is a very good real-life application of Natural Language Processing (NLP), which is one of the core parts of artificial intelligence.

Speaking of tech, we also wanted to know just how important technology is for the success of a localization project:

It, of course, depends on the technology you are talking about. Trying to translate everything only by overwriting in a word processing program like Word or Google Doc doesn’t produce the same results in speed, volume, or quality as when you use a CAT tool. Trying to manage projects with only a spreadsheet and email is doable but it’s much faster and more accurate to use a TMS.

Additionally, translation and localization tools can help you save precious time and be more productive:

Keeping up with the technologies is very important. With new tools, maybe you won’t have to click that annoying button one hundred times anymore. This creates the space for you to do other meaningful tasks.

And what about the voices from the industry that panic, saying human translators will become obsolete or lose value on the market? Yuka has a prepared answer:

We have skilled talents in the language industry. The only thing is that we need to keep shifting what we do and how we work. While our current skills are essential, unless we stay current with the rapidly emerging new technologies and applications in which we can be of service, we won’t be thought of as the go-to talent that we are.

We couldn’t agree more!

The 4 golden rules for a successful localization project

Yuka was kind enough to share some golden rules that apply to most companies localizing their product or services.

Rule #1: Think global from the very beginning

If you’re planning to expand internationally, you have to be proactive about localization, Yuka explains:
Localization cannot be an afterthought if you really want to enjoy its money-saving aspect. If you do localization well, you will likely sell more across different markets. Coming from another market, localizing the product, gives you a financial competitive edge compared with local businesses developing the same from scratch.
This is true for any type of product, be it physical or digital. BUT when the original products are not designed well or prepared well for localization, it takes more time and money to localize them, which dilutes that competitive edge.
There’s also a widespread logical fallacy that all your customers know English and that it’s fine to leave it be:
One of the most common mistakes I see is to use English as the main language on a market where the native language is not English or to do it without a localization professional overseeing the efforts. The mess you create by doing it unprofessionally costs a lot of money to redo and restart.

Rule #2: Internationalize before you even think about localization

The second rule is about internationalization and the importance of getting the buy-in from everyone – engineers included:

You need to internationalize the products fully even before you think about localization. Here, the term internationalization is used in a very technical and specific way. A well-internationalized product is designed to be universal from the foundation and architecture – in addition to full implementation of internationalization rules for the type of products. Surprisingly enough, there is a myth in the localization industry about this new type of design tool, and that’s that engineers don’t need to do internationalization. It is far from reality.

Rule #3: Be data-driven and develop KPIs

The third rule is to be data-driven and create sensible KPIs for your localization operation:

The KPIs you’ll rely on will depend on the maturity of the company or your localization operations. After collecting data from the appropriate data points, you need to think about what you need to share with each stakeholder in your organization and strategize how to share the insights with them. The best practice is to keep updating all the stakeholders with an appropriate report from your team to departments and functions, and executives.
And what should the report look like? Yuka has the answer:
The report may vary from the operational team to a set of executives. Think frequency, format, and content. Everyone should understand the collective progress that’s being made, and how they can all collaborate to keep refining the operation. Globalization is highly strategic and you may need to change the strategy to align with the business strategy. Remember that localization is a tool, not a purpose.

Rule #4: Never stop learning, always adapt

The fourth rule is about always finding new ways to innovate, both when it comes to professional development and updating the processes and tech tools you have in place:
The speed of technological advancement is so fast that what’s true today may not be true tomorrow. It’s not an era of changes: what we are facing is actually a change of an era. I won’t be surprised if I see some innovative people enter the industry and scoop localization professionals who are not up to date off their feet.
Supporting social causes and leading the way with kindness
When you speak with Yuka, you instantly feel like you’re in the presence of an incredibly curious and ambitious mind. She’s currently leading a digitization and globalization project for a local winery, a film industry global research project, and participating in many network group activities such as LocLunch Barcelona and soon the Global Chamber Barcelona.

Yuka is also working on Metaverse evangelization, doing KTLC promotion as an ambassador, and investing continuous effort into being a great mom, something she feels is the most important and challenging role of all.

We were curious to learn more about her collaboration with Translators Without Borders. Yuka started fundraising for them as a part of her leadership training:
When the training ended at the end of May, I felt I’m not done yet. So I decided to continue. For the moment, I haven’t done much but haven’t given up. Consistency over time wins over any sprint type of effort. You know the tale of The Tortoise and the Hare.

We asked Yuka about her inner drive and how she connects purpose to her work:
I feel my mission in life is to connect and build bridges between people. It happened to become more international now that I live in a foreign country and speak a few languages. And that’s what I do professionally as well. My company’s mission is to help people bridge cultural and linguistic barriers and make the world a better place.
Something that Yuka noticed in more than two decades of work is just how culturally rich and emotionally intelligent translators and interpreters are. This allows them to empathize with people in another language or culture, which is precious when there is a need for humanitarian support activities:
Now that the world is becoming smaller and smaller, people need us to step up and help. I encourage anybody in the industry to do what we can do. It doesn’t have to be big. Many raindrops form a stream and then a river. Before you know it, you’re a part of the vast ocean.

Many industries were severely hit by the pandemic and dealing with the uncertainty of what’s to come has been very difficult. The business world was trying to find a way to deal with the “new normal” and accept remote work as the new default.

People Work Together Like Ants and Bees

Have you ever watched ants or bees? They have remarkable and complex systems that ensure every team member contributes to the success of the entire community. While we live in a day and age where individuality is celebrated, humans are still incredibly dependent on one another. At our core, we’re social beings.

That is reflected both in our private lives and our work lives. At Ciklopea, we’ve built a culture that revolves around people and values mutual growth, respect, and transparency. This has been vital both throughout the pandemic and in its aftermath.

Flexible Working Models

Firstly, let’s talk about parents. Parents might not have the luxury of hiring a babysitter, or maybe they don’t want to. When is the right time for the first QBR?

Its name suggests that it is after every three months and in some cases 90 days after the contract has been signed really is the right time for the meeting.

However, this will always depend on the scope of business collaboration. Running a QBR after only a handful of small projects makes no sense, so the right time is when the collaboration truly lifts off and when both we and you have had a sufficient number of actual projects to get to know each other’s methods of work and expectations.

In other words, a Quarterly Business Review can easily be both a Monthly or an Annual Business Review.

Meeting, Report or an Event?

In our view, QBR is an essential part of business collaboration. By using the data from the previous projects, it helps us see how the things can be maintained on the current satisfactory levels or improved in the future. It tells the story about our collaboration and mutual success and serves two invaluable purposes:

• It provides you with a deep insight into your localization efforts, costs, savings and quality assurance;
• It helps us demonstrate our value and learn more about your expectations and requirements, helping us tailor our services accordingly.

In other words, it was the time to check the value of the intangible assets of every organization such as its identity and its culture. In cases when the corporate culture is developed continuously, when the identity is clearly cut and when the company values are understood and shared by all the employees, the actual work can be executed in any environment and the record shows that we at Ciklopea have been doing fine in this regard, since we have actually observed productivity boosts during the lockdowns.

Work from home/remote work

This concept is nothing new for us. Since the very beginning, our employees have had the option to work from home, and some of our employees have worked almost exclusively remotely due to their locations being in different countries for years without any issues.

Of course, it was somewhat awkward to have the entire team on Zoom, the connectivity issues would come up occasionally, but generally this model worked and continues to work for us.

Hybrid model

One of the novelties introduced during the pandemic was the hybrid model. All our employees were given a choice to work either from home indefinitely or to work at the offices partially or fully.

This model is useful when:

• the employees want to work from home, but need to have the access to the office resources and supplies occasionally;
• the employees are unable to work from home for any reason.

This model, however, required some physical modification of our offices as we had to create smaller and safer workspaces in accordance with the pandemic prevention guidelines.

As it used to be: the good old office work

While work from home or hybrid model may sound like a good idea and not really an issue to many people, there is a largely overlooked group of  employees who, for various reasons, may find it more challenging (or even impossible) to work from outside the traditional office settings.

It is true that the line between the working hours and the spare time can easily get blurred when people work from their homes, so some of us were eager to come back to the old ways.

In addition to redesigning the office layout, we also hired a graffiti artist to decorate the walls with CATs (capitalization is not accidental) to refresh the workspace and make it funkier for our employees and you can see some of this cool artwork below:

I can proudly say that we have passed the resilience test with flying colours.

The reason for this is not a secret – we have simply been developing our culture since day one, focusing on the aspects that last, such as investment in people and communication. When clear and honest communication is a norm among the employees and when the quality standards and objectives are clearly defined, you simply don‘t need a brick and mortar office – the source code of your organization can be compiled and run in any environment.

The MDR classification of medical devices has been extended to include more medicinal products, meaning that more products might be classified as medical devices than before. In addition, medical devices manufacturers are also responsible for devices once they are marketed and for the technical documentation, and there are new and more precise requirements for clinical trials to be conducted by the medical devices manufacturers.

The new guidelines also require more detailed labeling, description of the product, clinical data, documentation, software and information about application of the device, “clearly comprehensible to the intended user”.

In other words, more IFUs will need to be translated and submitted for approval to healthcare authorities for every market.

Mixed Complexity Levels

One of the particularly interesting changes related to translation refers to the manufacturer‘s responsibility to draw up the Summary of Safety and Clinical Performance in a form that intended users and patients can understand.

This means that it might be necessary to develop and translate information intended for the healthcare professionals and patients in the same document.

Focus on the User

Many of the changes required by the MDR compliance relate to the availability and clarity of the product-related documentation to the users of medical devices.

For example, the IFUs must be available on the manufacturer‘s website, linked to the Summary of Safety and Clinical Performance (SSCP) (written in or translated to the language understandable by the user) and uploaded to the EUDAMED database, and to quote from the MDR itself:

• IFUs “shall be written in terms readily understood by the intended user, and, where appropriate, supplemented with drawings and diagrams”
• SSCP must be submitted for class III and implantable devices in a language “easily understandable to the intended user”
• Labeling must be “clearly comprehensible to the intended user”
• Information supplied with the medical devices must be “easily understandable to the user”

This all means that there will be more demand for translation of patient-facing content and that having a reliable provider of language services with the appropriate experience and expertise in content production and  development of translation solutions for the medical devices sector will remain to be crucial for smooth operation and closing of regulatory cycles on the European market, and one of the reasons for this is that manufacturers now also need to provide documentation in English and in their language.

Last, but not the least, centralized management of translation services for the official languages of the EU is probably the best model for  the manufacturers of MDR-compliant medical devices because this model enables uniform execution of the translation process and the quality control across the language pairs.

Localization is essentially a background process that enables smooth and organic integration of products and services into the environment of the international markets. One may think of it as of glue that ties together all business development activities targeted at a particular market, facilitating reach, engagement and support of the target audiences.

As its name suggests, localization refers to a place.

While translation refers exclusively to adaptation of textual content from one language to another, the purpose of localization is adapting a product/service to the environment of the target market using, in addition to translation, transcreation, legal and technical adaptation, localization of visual and multimedia elements and other tools that will make a certain content fully integrated into the target market.

And the reason this is done is because, as the market researches show, about 70% of customers are more likely to make a purchase if a product/service is offered in their first language, while about 40% of customers decline to make a purchase because of missing information on the product, service or delivery, or, as Willy Brandt famously stated: “If I am selling to you, I speak your language. If I am buying, dann müssen Sie Deutsch sprechen.”

In the digitally transformed world, these “eternal” truths are as relevant as ever and the ongoing processes of content explosion and increasing demands to provide more content to the growing digital audiences bring localization and its benefits back to the spotlight – it is now crystal clear that localization is a major profit enabler.

But how does it actually enable profit growth?

The 3 Main Benefits of Localization

To provide an answer to this question, several years ago we conducted a research on our own with the aim of distilling our experience to define the main benefits of localization that, when put together, tell an epic story about successful market penetrations, brand awareness, positive figures and similar things that generate profit. What we discovered were the 3 Ps of localization, Prevention, Proximity and Popularity.

Prevention

It is easy to overlook the fact that localization is often a necessary preventive measure to avoid or minimize legal and financial risks on the international markets. This is obvious when certain materials are localized to meet the regulatory or legal demands, but localization also performs a preventive function when it helps you present your product or service, company and values in the way that target audiences will fully understand, eliminating the risk of bad publicity and enabling you to build and maintain a strong and positive global presence. Good things do not happen when the clients and customers receive mixed, unclear or offending signals, or when product launches are delayed due to language-related issues and localization is here to make sure that you avoid this.

Proximity

Why do we  decide to use particular products from the hundreds of similar ones on the market? Most of us will probably state the obvious factors such as price, availability and quality, and it is true, but it is not the entire story. When all these factors are put together, they build our emotional attachment to a particular brand, we adopt it as part of our lifestyle and remain faithful to it and reluctant to try alternatives even when the prices go up or when the availability requires additional effort on our end. In other words, certain brands and certain products become parts of our culture, they are something that we know, like and trust.

Localization is a tool that enables companies to achieve this effect on the international markets, to become integrated into the target culture by bringing their brands, values, products and services closer to the target audiences and in accordance with their requirements and expectations.

Popularity

Among other things, every localized product/service inevitably communicates respect for the target language and culture, and respect is one of those precious things that are hard to earn and easy to lose – but it is always returned.

We all like it when our foreign friends make that effort to learn a bit of our language and it is not different when companies do the same thing. This kind of respect is what makes certain companies and brands more popular than the others and it is the foundation stone of building a solid base and a positive presence on the international markets.

Positive as they are, these comments on our well-established processes naturally inspire us and drive us in our efforts to continuously improve, but they also reveal that our story is still something of a mystery.

This is why I wanted to share our story with you.

What we do?

The legendary German chancellor Mr. Willy Brandt once very conveniently formulated one of those big and eternal truths: “If I’m selling to you, I speak your language. If I’m buying, dann müssen Sie Deutsch sprechen.” This sentence is at the very heart of everything that we do, so if I had to pick one word to describe our job that would be adaptation.

We develop individual language solutions for our clients to help their business operations on international markets, or to help them Deutsch sprechen.

Translation and localization are our core businesses and we employ specialized team of subject matter experts, from linguists (translators, reviewers, proofreaders, terminologists, content producers) to technology specialists (CAT, QA and DTP tools), project managers and account managers who are the driving force of the company because their job is to organize and harmonize the tasks of all stakeholders, so we may think of them as genuine wizards who sometimes can do the impossible in terms of organization and delivery.

Ciklopea and the language industry

The translation/language industry is developing and changing every day. The levels of development of various language technologies, from various CAT solutions in cloud to AI-based machine translation are visible to the user and potential clients. We are glad that we can say that we are recognized as one of the key companies in the region that, in addition to its continuous business and process improvement, sets examples for collaboration with the academic community, volunteering in the industry associations, involvement in various meetings and conferences, webinars and all other activities that are also covered on our online channels.

Combining the powers of technology and people

We believe that our narrow focus on high technological translation, in a way, shows the future because it is closely linked to development of innovative products and their launching on new markets with constant improvements and new developments that need to be adopted constantly so the product could survive.

In other words, time is one of the top problems in the language industry.  In this article, we take a look at the reasons behind this and the measures (or attitudes) that can be taken to resolve this issue.

All good things take time

If you are reading this article, we believe we do not need to emphasize that professional translations for commercial and regulatory purposes are performed by professional human linguists.

The mere fact that linguists are human can mean many things, and one of these is that they need more time than machines to complete their tasks.

Of course, the entire language industry is built around the constantly developing technology that enables translators to perform more work in less time, but technology cannot really lift the eternal boundaries of language and communication that linguists try to open using their knowledge, skills and intuition.

To cut the long story short, different languages work differently – while it may be easy to coin a new phrase or a term in one language, it may take hours to find (or develop) a corresponding term in another language that would cover the entire spectrum of the source meaning, style and tone.

These types of “blank spots” or “freezes” are not exclusively limited to transcreation and adaptation of marketing materials and ads: legal, medical and technical terms can be equally difficult, as every professional translator from English or German to any Slavic language knows too well.

Translator’s main and only task is to convey the meaning, style and tone of the source material, taking into account the material’s purpose, format and target audiences. This is a high level intellectual process that cannot be and shouldn’t be expected to be performed in a heartbeat – if we are looking for the best possible results.

How much time?

To answer this question, we need to take a look at how translations are calculated and charged: in the modern language industry, segmented source words are the basic unit of measurement.

Thanks to the highly developed translation technology, we may calculate new words, fuzzy matches and repetitions within a document or against a translation memory. Segmented new words are, as the name suggests, the words and phrases that appear in segments for the first time and that need to be translated from scratch.

Our professional experience shows that the optimum daily rate of translation clocks at around 2500 new words. To illustrate, a standard page in Word and similar word processors contains approximately 500 words, so we may say that standard translator’s daily output is about 5 pages in Word, not including the repetitions.

Depending on the material, repetitions and the existing digital translation assets, the actual output can be higher – our rate includes only the new segments.

Of course, this rate is meaningless in other types of language tasks (review, transcreation, quality assurance) and in those scenarios we may use only hourly rates.

How to accelerate?

The cure, as far as the language professionals are concerned, is, once again, in the translation process. The process has been developed as a perfect mix of translation technology and human knowledge and power, with one of the aims being the speed of delivery without it affecting the quality.

Depending on the scenario, the wordcount and the desired deadline, more translators can be assigned on a single task, although it should be noted that this approach also has its downsides – more translators can also mean more personal styles and therefore more coordination, but it is not impossible.

On the client’s side, however, there are some things that should be taken into consideration:

• It has been shown that the client’s input (or, at least, the client’s willingness to provide more information on specific project requirements and terminology) at the early stages of translation/localization project can speed up the process dramatically because the translators do not need to spend time researching for terms or sending queries during the project.
• Translation/localization should be understood more for what it really is – an integral part of a product/service launch and spreading of business operations, than a formality to be fixed quickly right after the product completion and right before its launch – or, in short, client should allocate enough time for translation/localization.

Direction vs. speed

In life, as well as in business, direction is often more important than speed. The first question is what do you want to achieve with localization of your product, service or delivery, not how fast can you get it localized. If you want to achieve quality and appropriate adaptation in accordance with the target culture and market, that will always take some time, even with all the digital and technological wizardry available.

Patient-facing content is virtually everywhere: from marketing materials that ranges from advertisements to medicinal product brochures and various promotional articles written to educate patients on their conditions and treatments and to provide lifestyle advice, to package inserts (or patient information leaflets or PILs) and drug packaging and labels.

In other words, every medical and pharmaceutical content that is not written for healthcare professionals and/or regulators can be qualified as patient-facing content.

Patient-facing materials in clinical trials

Materials such as informed consent forms, treatment descriptions, investigational medicinal product information, legal and financial information, as well as any materials used during the subject recruitment phase, are essential in every clinical trial.

These materials provide the study subjects with the relevant complete and accurate information about the trial, the involved risks and benefits, as well as their rights and obligations and the full implications of their consent.

In addition, it is important that various legal and regulatory requirements are met in the language of the patient-facing materials.

Translating patient-facing materials

While medical translators are well-versed in medical and pharmaceutical terminology and procedures by definition, in these cases they need to execute their translations knowing that the target audiences are the people who may have never heard of urticaria, but who are certainly aware of hives.

Although this may seem easy, it is not uncommon that these translations actually require more effort and linguistic skill than translation of materials for healthcare professionals simply due to their nature and purpose.

They also carry another layer of responsibility – poorly styled or wrong translation may unintentionally mislead a study subject/patient both in terms of use and side effects of a medicinal product, as well as the legal aspects of clinical trials.

For these reasons, it is essential to assemble a linguist team with the appropriate experience and clear understanding of the material purpose and information about the target audiences.

While it is always a good idea to use common terms for medical conditions and procedures when they are available, this does not mean that general quality standards can be omitted and that slang terms may be used.

It is always useful to have a linguist checklist for translation of patient-facing materials that may include the following items:

•       Use short and clear sentences.
•       Avoid the syntax of the source material. If any sentence in the source language is too long or too complex, split it in two or more sentences.
•       Use common terms and avoid expert terminology.
•       Alternatively, use common terms with expert terms/scientific names in parentheses.
•       Pay close attention to clarity and accuracy of the sections explaining how to use medicinal products, legal implications of consent form, risks, benefits and side-effects.
•       Ask yourself if your grandmother could understand the translation (unless she happens to be a healthcare professional).

Application of translation technologies

Translation technologies and digital translation assets can be (and are) used on these projects to cut expenses and shorten the turnaround time, but only in cases where the existing assets were used on previous projects for the same target audiences.

For example, a translation memory or a termbase developed and used for translation of scientific materials, study protocols, SmPCs and other materials targeted at healthcare professionals may not be of much help in these cases.

It is therefore a good idea to develop and maintain separate translation assets on the basis of target audiences and purpose.

You compose and send your corporate message to your partners and clients and the success or failure of your business largely depends on their perception of who you are and what you do, so it is the one external confirmation that you should be really concerned about.

Poor language always brings a whiff of sloppiness and untrustworthiness and this is something that you want to avoid.

Of course, you will build your reputation on the quality and reliability of your products and services, on your dedication to user experience, corporate culture and processes, and language quality isn’t a magic wand that can really help you with any of that.

Clarity and correctness of language is nothing more than a reflection of clarity and correctness of thoughts, ideas and processes and this is the impression that you want to make. People may get this consciously or not, but they will get it.

Style is preferential, quality is measurable

According to the Cambridge English dictionary, style is a way of doing something. It is a reflection of one’s individuality and can therefore be good or bad depending on one’s preferences – but it should be noted that stylistic appropriateness in terms of purpose and target audiences of a specific materials can be assessed.

On the other hand, language quality is very measurable thanks to the various assessment processes that we have developed over the years on the basis of our experience and expertise.

The aspects of quality of translated materials such as accuracy, appropriateness and fluency can be assessed and these are the aspects of your corporate message that can and do make an impact on your business performance and that can make your marketing campaigns sink or swim on the global markets.

However, without the great, thorough and precious work of our translators and editors, our so special linguists who have many superpowers, Ciklopea’s image and reputation with our clients would never be as good as it is! I say superpowers because our vendors are very often true superheroes.

They are all highly educated and well versed on the subjects of medicine, pharmacy, technology, science, law and other topics. They are all professionals in their work. They are multi-skilled, they master several languages at least at the C1 level. At the same time, they are a bit shy and humble as most of them don’t want to be too exposed by revealing too much of their character or personal life, which we completely understand (and appreciate!).

As a translator at heart, I completely understand all those quiet and sometimes hysterical 🙂 moments of search for the right term on the internet late at night, I remember weekends I spent typing and doing researches about car anatomy, who could ever forget looking up in tons of glossaries and websites?

That’s why we like to think of our linguists as our most valuable partners.

It’s great when, starting a new project, you already have in mind the translator who’s going to take care of it! Like a movie director who, having seen the screenplay, knows already who would be the ideal actor for the main role…

Editable file is simply any electronic file that can be used for office automation and computer-assisted processing, i.e. any file that can be edited, changed or updated (at least) in the environment of its native application.

Files used for translation/localization are generally not originally developed in CAT (computer-assisted translation) tools, but one of the things that makes these tools so awesome is its built-in support for a wide range of standard editable documents such as: HTML, XML, TXT, SRT, a wide range of documents generated in Microsoft Office suites (Excel, Word, PowerPoint, Visio, Project etc.), files generated in certain Adobe applications such as FrameMaker, InDesign, InCopy and many more.

These types of documents can be easily imported and manipulated in the standard CAT tools and the translated/localized files can be exported in their native formats, with little to no additional editing if the additional DTP services were not requested.

For example, a PowerPoint presentation can be imported, edited, translated and proofread in a CAT tool, exported back to PowerPoint and the only additional required changes to the layout of the translated document will usually be adaptation of font sizes/placeholders to meet the length characteristics of the target language.

Why PDF in not (really) an editable file?

PDF (Portable Document Format) was developed by Adobe in 1993 as a presentation format that would present the document in its entirety (i.e. including layout, font, images and interactive elements) across different software and hardware platforms.

Over the years (or decades, to be more precise), the format has evolved to become more complex and nowadays includes advanced security and interactive features, remaining indispensable in everyday office operations.

However, its main purpose remains cross-platform presentation rather than editing – it can be used as an output format in a variety of applications, but due to its complexity and various standards and features, it can usually be editable only in its native application.

For example, a graphic file generated in Adobe Illustrator and exported as a PDF file can be smoothly edited and reedited in Adobe Illustrator – provided that preservation of editing capabilities was selected before the output file was generated.

In most cases, such PDF document will be editable in Adobe Illustrator only and practically useless in the context of CAT processing. Even if CAT software could extract the text, there will most certainly be issues with layout and the translated PDF would be practically impossible to fix.

Can we translate directly in a PDF file?

We might. But that would be a time-consuming process and the quality of the output file could not be guaranteed, the reason being that such an operation would in most cases be the work of a single linguist and the probability of human mistakes would be higher, i.e. it would be impossible to apply a full-scale localization process with guaranteed and predictable results.

If we add the unavoidable design, layout and font issues, it is easy to see why the technical limitations of this approach would spell an expensive, time-consuming and difficult project with unpredictable results. And nobody wants that.

These are the main reasons why your translation vendor asks you for editable files – to make you wait less and spend less on a translation project.

The consortium is also working on market research, an EU-wide investigation to determine the expenditure of outsourced translations by public authorities in each member state. This research will help National Anchor Points understand the current size of public expenditure in translation services, and the amounts that can be saved by centralising data and adopting the fast-performing NEC TM database.

I have been a fan of literature and foreign languages for as long as I can remember. Over the years, these passions combined with a love for travel. This combination of interests was crucial for my choice of education and it inspired me to study Italian and Czech language and literature. I found work in the language industry almost immediately after graduation, first as a translator and later on as a project manager.

How many languages can you speak and/or understand?

In addition to being a native Croatian speaker who can also understand the related South Slavic languages, I am fluent in English, Italian and Czech. I can also understand quite a bit of Macedonian, Slovak and Spanish.

How did you become a project manager?

I applied for the position out of curiosity and it turned out to be a fun combination of my interests. Project management in the language industry combines linguistic skills, IT, problem solving, communication, organization and coordination, and it is never boring. After five years on this job, it would be hard for me to imagine myself doing anything else.

What is the driving force of your job?

What excites me most about my job is that I get to learn new things every day, either related to the new technologies or about the process improvement. I always try to think about new solutions for my teams, with the goals of doing an even better job and finding the best possible solution for our clients. The biggest success is when the whole team feels good about having done the best job possible. In Ciklopea we like to say that we prefer doing things the smart way rather than the easy way.

If you were to choose a career outside the language industry, what would it be?

Before deciding on an education and career in the language industry, I had a strong interest in the visual arts. Drawing and design have remained my hobbies, so if I were to work outside the language industry, it would probably be a creative job that has something to do with art or design.

What is your piece of advice to your younger colleagues?

Without the intention of sounding like a meme :), I would advise all junior project managers to keep calm and manage projects, no matter what unpredicted situation they encounter. The job is dynamic and it can sometimes be stressful, but if you think about the new situations as challenges and opportunities to be creative instead of being afraid of them, it can be a lot of fun!

 What is your secret superpower?

I sing in a band. But don`t tell anyone! 🙂

What is your favorite quote?

“Do. Or do not. There is no try.” by Yoda 🙂

The three things you would take to a desert island?

My e-book reader for pastime on the beach, a phone with wireless Internet so that I can advertise the place online and invite other travellers to come and enjoy the intact nature with me, and lots of sunblock.

My Ciklopea story began when I got interested in machine translation and computer-assisted translation during my studies and applied for an internship program. The recommendation for Ciklopea came from my teacher and mentor dr sc Sanja Seljan, who had a long-established collaboration with the company and stated numerous positive experiences, so I didn’t hesitate to take that opportunity.

The internship was completed to mutual satisfaction and I continued working at Ciklopea while I was still a student. With the final year of my graduate studies our collaboration extended to my thesis – it would be about CAT or computer-assisted (or aided) translation.

Thesis and continuation

My mentor and I negotiated a thesis topic that would be closely related to my job and defined it as “The impact of digital resources and tools on translation quality in computer-aided translation”. I had full support from Ciklopea in using the tools and skills that I acquired in the company.

The thesis aim was to explore the impact of digital resources and tools on translation/localization quality output in computer-assisted translation. The research was performed on sample texts from a specific domain in English and in Croatian, and included the processes of text alignment and automatic term extraction in a CAT tool, as well as running quality assurance in several dedicated QA tools.

Translation quality assurance included checking of terminology consistency according to the previously rendered result of automatic term extraction, as well as grammar, translation consistency, interpunction, numbers, quotation marks and spaces in accordance with the target language orthography. QA tools analysis showed the translation quality is greatly improved with their use and actual error correction.

Applying the knowledge in real life

Although computer-assisted translation quality assurance is still new and largely unexplored area, it develops and becomes more sophisticated with the CAT tools development, either as an integral part of CAT software or in the form of standalone applications, and they significantly help the translation quality controller perform his or her task of final quality check in a translation / localization project.

The importance of quality assurance has grown with the workload increase, technological requirements and the need for fast language solutions. All these factors consequently increase the possibility for human errors in translation process. Quality assurance primarily relates to the quality assurance process within a specific translation project, but it also includes a number of additional processes such as considering quality from the earliest project phases to its completion, and application of the same methods on other tasks for the same client or for the same type of translation.

All available QA tools provide a type of saving different settings in the form of profiles or check groups that can be reused in similar projects. Application of QA tools thus enables the consistency of language quality on a wide range of projects and language pairs – and, working as a full-time quality assurance specialist at Ciklopea – I can see this happening every day.

I heard about Ciklopea while I was still working at the biggest telecommunications company in Croatia. The HR manager knew about my skills, so she invited me to test my strengths in the language industry. All I can say now is that I am very happy to handle projects just as successfully in an entirely different environment.

What’s the driving force of your job?

The clients’ satisfaction is what inspires me every day. A smile on the faces of my clients makes me come to work smiling, even on Mondays – and we all know that nobody likes Mondays! Joking aside, my clients inspire me to constantly pursue better solutions and provide them with a service of even higher-quality and stronger support.

What do you think is the hardest thing for clients to understand about the language technology and the localization process?

I think some clients have difficulties understanding the complexity of the translation process and the challenges of tight deadlines. Project management includes a wide range of activities that may seem somewhat abstract, such as setting up the project, establishing delivery deadlines, assembling a project team, quality assurance, checking compliance with the client’s terms and instructions, performing desktop publishing, etc. It’s demanding only to list these phases, let alone connecting, organizing and controlling all the segments.

What are the advantages of language technology and why is it important to use it?

Technology is as important in the language industry as a ball is for playing football. Of course, language is the foundation of everything, but technology ensures efficiency, quality and speed. Language and technology are closely related, like a medicine and a PIL.

Translation of technical documentation requires an organized approach to work. Without a doubt, consistent quality and a tight delivery deadline could not be achieved in connection with these types of texts without technology.

You are known as the Across guy. Why did you choose Across as a primary tool for your projects?

It was love at first sight. Across is a very smart tool, strong-willed just like I am, in the most positive sense. It has a lot of useful features that make every user’s work easier. This tool is completely different from the rest. It is very user friendly and once you gain a sense of its logic, it quickly becomes your favorite. This is just like describing myself. One simply senses the love, am I right?

What’s the most challenging/interesting thing about it?

The most challenging thing is to understand its specificity.

How has Across helped you or made your job easier?

It has the simplest system for monitoring and working with licenses. It provides a comprehensive insight into project history and the logic behind the project management is very clear.

What is your piece of advice to other localization project managers?

I would advise them to build good relationships with their clients and vendors on trust. A successful day for me is when I meet the needs of both the client and the vendor.

What are your passions outside the office?

Basketball is my other big passion. A project manager’s job is similar to that of a basketball player – the trust between team members is crucial. I have played basketball for the last 7 years and I still hope to make it to the NBA (of course, when I grow taller by another 20 cm). In addition to basketball, I like martial arts which I have practiced for many years and won numerous medals. Other things that make my day include music, friends and spending time with my son.

An interesting thing about you that nobody knows?

I am a former passionate football fan (a former member of Bad Blue Boys). For years, I have traveled to all the matches of my favorite football club across Europe. Those are wonderful, very vivid memories.

How would you make the world a better place?

I would divide all goods and wealth equally among all the people on the planet. I know this is a utopian idea, but that is how I feel!

Luckily, I was met with an incentive work environment, a great mentor and supportive colleagues who were always ready and willing to share their experiences. I started working on localization projects, while at the same time getting familiar with simple CAT tools and rules for translation of specific types of materials. It’s important to master all the rules of a specific field of expertise in order to apply them in a constructive and creative way.

During my tenure at Ciklopea I got introduced to translation technology, learned how to use CAT and QA tools, became familiar with the principles of working in the language industry on large-scale projects, as well as the principles of processing terminology.

Working for a leading LSP in Southern Europe provided me with an opportunity to work on large-scale projects for the international clients, learn how to work in a team and how to communicate individually with Project Managers and clients. Over time, I specialized in the fields of software localization, medicine and pharmacy.

I acquired invaluable experience and even had the opportunity to become a mentor and to pass on my knowledge to new translators in Ciklopea Summer School.

Having completed my internship, the next logical career move was to start my own translation business.

In doing this, I was met with wholehearted support and encouragement from Ciklopea’s Human Resources Department, which helped me get through the logistic part of this process and provided me with numerous useful information. Our cooperation continued, but in a different form.

Today, I can honestly say that most of what I know about translation stems from my professional experience at Ciklopea. As an independent translator, I now know that I can always count on Ciklopea’s team to provide me with feedback and support in my professional journey. I have been extremely satisfied with our cooperation over the recent years and I am looking forward to its successful continuation.

The event was split into workshops which were held on the first day, while the conference was held on the second day of WordCamp Zagreb.

The second day conference was held at the Museum of Contemporary Art in Zagreb, where the topics dedicated to freelancers and developers (development, application and monetization of WordPress plugins) were covered through separate tracks.

The Ciklopea team attended the WordCamp workshops to get the latest information on the subjects of public speaking and multilingual WordPress localization, as well as the CMS platform itself and the exciting new features for WordPress such as the new Gutenberg WordPress editor.

Being a tech-savvy and an industry-focused LSP, we were happy to get fresh insight into the technologies that we are already using and into the possible further optimization of the solutions and processes that we offer to our clients, such as the multilingual L10n of WordPress-powered websites with WPML. The workshop on this topic was led by Dario Jazbec Hrvatin of OnTheGoSystem.

In our view, WordCamp Zagreb 2017 was a success on several levels and we are looking forward to further events of this kind in Croatia.

The Department of Information and Communication Sciences of the Faculty of Humanities and Social Sciences in Zagreb and Ciklopea have been collaborating for many years on internships, summer school and guest lectures and four of our students are now Ciklopea employees. They all work in the newly formed technical department and I believe one of your department managers is also our alumna.

To what extent do you believe that our universities prepare the students for work in the language industry?

Information and communication technologies have become irreplaceable in every field, including the language industry. Application of information and communication technologies represents an essential professional skill in today’s world of global communication, but it involves much more than knowing how to use specific tools. We strive to make our students competent by providing them with a vast knowledge base that will help them choose their desired career later on. The language industry demands a versatile person with technical, information-communicational, organizational, linguistic and marketing knowledge and skills. Knowledge and application of technologies, development of new solutions (such as databases and applications) and new models of integrated systems, quality assurance, process automation and business analysis are in high demand. This is a particularly multidisciplinary field that is continuously developing and we use the knowledge and experience acquired through scientific research and practice to improve education and teaching.

What are the skills that universities should be more focused on developing in students?

Practical experience is extremely important, as well as teamwork and independent research work. The students need to know theory to understand their current level of knowledge, and through their development they can recognize the different approach and application methods, limitations, assessments etc. Software licenses used to be much of an issue until very recently, but many software companies have come to understand the importance of their collaboration with the academia, so we have entered into different agreements on academic use of software packages and resources.

What is Ciklopea’s contribution to preparing young people for the job market through various projects such as the Summer School and internships?

Ciklopea has recognized the importance of such projects and the summer school provides young people with a set of new skills and knowledge, especially for those who didn’t have a similar curriculum at university.

Do you think such projects are useful?

I believe these projects are extremely useful both for the company and for young people, for whom they open up new opportunities.

Are the young graduates without any professional experience ready to work in the language industry?

I believe the students who study information and communication sciences and lingustics are a perfect match. There are various courses covering language engineering, technology application, the necessary technical skills, database development, programming etc. at the Department. The course on language technology is open to other students as well, as an optional course. Judging by the feedback that I received, our students are doing well, but it goes without saying that the required experience comes from work, with subsequent specialization and career development providing for further research work.

We’ve had a student from the Republic of Macedonia for the first time this year. What are your thoughts on that?

The language industry and global communication have no boundaries and collaboration is always welcome.

Do you think there is still room for improvement in the collaboration between Ciklopea and the university? What else do you think we could do for the academic community?

There is always room for improvement, which only serves to benefit everyone involved. I believe there is a significant interest for the summer school in areas of programming skills and business automation. We are also always open to collaboration through guest lectures, where students can ask questions, or through specific workshops.

What part of the Summer School do you think was the most useful to students?

Seeing the practical workflow of file processing – from order receipt, project management, application of technology, problem management, quality assurance, delivery and the importance of communication with the client at all stages. It is important to understand the technology, but it is also crucial to understand the work process and the importance of good communication.

What was the most interesting part of the Summer School for you? Was there a particularly interesting moment?

I was really pleasantly surprised with the working atmosphere in the company – it’s very professional and dynamic, but also positive and relaxed. Good human relations, good communication and sharing a cup of coffee surely contribute to the performance.

You are a highly knowledgeable and competent person. But was there something that you learned at the Summer School? 🙂

Of course. That’s the challenge in this line of work – continuous improvement and finding new opportunities. Is there any better news than the all-round satisfaction of the academia, and the industry, and young people deciding to remain in Croatia?

Ciklopea was an interesting choice because I didn’t really know much about the language industry. I really wanted to put my best effort into the internship/work practice because that is always the best way to learn anything. That was my mindset and I realized that Ciklopea could provide the perfect opportunity for me to learn something new.

It’s interesting that you are not a linguist and yet you saw the opportunity in Ciklopea. What’s the connection between Ciklopea and your chosen career, management and economics?

Language industry is most definitely connected with the knowledge I have been acquiring at the university. Marketing and sales are among the core departments in any company and so it is in Ciklopea.

You’ve been with us for a while and you’ve worked on several interesting projects and tasks. What is the most interesting project you were assigned on?

I would like to point out a parallel project that I’ve been working on, and that is developing a presentation for the team that explains the issues of lack of the internal communication in a company and how to improve that. Research and spreading of knowledge is an extremely satisfying part of the job.

Could you please compare how you saw us the first time you came to Ciklopea and how you see us now?

I have felt like being at the right place since day one. The friendliness and the warmth from everyone that I experienced on my first day never ceased and I hope that I have managed to give some of it back.

What have you learned at Ciklopea?

Ciklopea has provided me with a lot of invaluable business information. I believe I will be able to understand the technology, knowledge and features of every new company. I will most definitely be able to provide answers to the questions such as “How?”, “Why?” and “When?” to my future colleagues much easier thanks to my experience at Ciklopea.

Is there anything worthwhile that you’ve learned at Ciklopea and that you will be able to use in the future?

I believe that Ciklopea taught me more than just business. I would like to emphasize human relations as one skill that Ciklopea has made me better at. It’s an asset that will stay with me forever, thanks to Ciklopea, inter alia. My mentor Zana Boljkovac expressed great patience for me during the learning process.  In addition, all the business knowledge that she and the marketing and sales team shared with me will definitely be useful in the future.

What are your professional ambitions?

Ambition is a virtue of many young people in this day and age. I certainly believe that I am a fighter, I don’t give up easily and keep on fighting until the very end. I believe that I could achieve a lot in the business world with such attitude, and that is certainly my goal after the graduation. Having a top position in a comparatively new, but highly competent company is not an easy task, but that’s a goal high enough for me. But even if that happens, I believe I could achieve even more, but I wouldn’t worry about it at the moment.

Could you see yourself as a permanent member of the Ciklopea team? Could Ciklopea be the place to satisfy your professional ambitions?

Ciklopea is most definitely a quality company that provides a lot of space for advancement of the individuals who prove themselves. I would like to work in a company like that once I graduate and I would certainly be happy to return to Ciklopea.

Marketing or sales – which one do you prefer and why?

Marketing has always been a more appealing aspect of economics for me because I believe that sales takes a particular talent and that it can’t be done right by anybody. I never worked in sales, although I’d like to see if I have that particular talent. But anyway, marketing is my thing.

How would you describe work atmosphere at Ciklopea?

As a very relaxing one. There’s no too much undesired pressure in the office and the hard work of the colleagues provides a solid base for work throughout the day.

Are the tasks/projects that you are assigned on educational?

Every task is educational if you really pay attention to the data you are working on. There’s a lot to learn from everything and I believe that curiosity is a desired attitude of a business man. I want to be able to speak with everyone I meet on any subject and that’s why I liked all tasks.

Are the project/task requirements clearly communicated to you?

Each task and every project have their issues. There were always questions from my end at the beginning, but I always had enough information to resolve all the issues.

What is it that you particularly like about Ciklopea?

The humanity of all team member. Every question was answered and every help was given instantly. The importance of such work environment can never be emphasized enough and that’s a very positive side of Ciklopea.

Do you like your work or do you hate that period after 10 PM on Sundays?

Liking comes from interesting tasks. Everyday office work is not an issue for me because I always have interesting tasks.

Life sciences and translation/localization are a bit of an odd couple, but deep down inside they are a match made in heaven. Almost all companies in the life sciences industry have to do business abroad, which means they need to speak the local lingo. Very few companies have the resources to translate everything in-house, which is where LSPs (language services providers) like us come in. Given the life-or-death nature of the majority of texts, understanding the translation process has never been more important. More importantly, using a professional agency who can deal with the complexity of this industry is an absolute must.

What life sciences regulations do I need to know about?

The life sciences industry is one of the most heavily regulated industries in the world, and this makes our lives as translators that little bit more complicated. Not only does your translation agency have to be capable of handling medical terminology, they have to know the rules and regulations too. Acts like HIPAA are in place to protect patient confidentiality and protected health information, and translation agencies are legally required to follow it. Reputable LSPs should also work in accordance with ISO 9001, ISO 27001 or ISO 17100 regulations, which cover translation quality standards and information security. There are also European and national regulatory bodies that have specific translation terminology that needs to be kept to.

Is there anything else I need to keep in mind when ordering a life science translation?

Another thing to keep in mind when tackling life science localization is the fact that traditional TEP (translation-editing-proofreading) is simply not enough anymore. One example is that PIL (patient information leaflets) actually require readability testing, and it’s recommended for other of documentation too. You should also consider the marketing and sales potential of your new markets, so that you’re not missing out on that all important ROI.

How can I make sure that my LSP is a life science professional?

The market is full of translation companies, but knowing which one is right for your translations is better than ever. So, to round things up, here’s a checklist of things to keep in mind when choosing a new partner:

• Different documents need different styles, so feel free to discuss this with your LSP. They’ll be able to recommend which style is best for you.
• Make sure they know about approved terminology. They will be able to give you a list, and most companies like ourselves even perform in-house quality reviews to make sure this set terminology is kept too.
• Ask for blind CVs of the linguists doing your translations. Most translation agencies keep their translators’ CVs on record, so by having a look at their CV, you can make sure that their linguists really are life sciences experts.
• Check how they work. Some LSPs like us have set teams for documentation and another one for marketing, even if they are for the same products.
• Ask about rules and regulations to make sure that they are always followed.

As part of the study, the firm surveyed providers from every continent to collect actual reported revenue for 2015, 2016, and expected revenue for 2017. CSA Research, which has published market size estimates and global rankings for the past 13 years, found that the demand for language services and supporting technologies continues and is growing at an annual rate of 6.97%, representing an increase over last year’s rate of 5.52%.

Smart Differentiation

Sales and marketing is not exactly the smoothest aspect of the language industry and the struggle to find the perfect way of presenting and selling a linguistic solution is real. This is why this type of event was just perfect –fresh ideas, experiences and perspectives exchanged during the workshops have all been a great food for thought.

The presentations that stood out for me in this regard included Adding tangible value to the customer experience and How the framing of price impacts the bottom line, both by Richard Brooks and Samantha Brown. It’s sometimes good to remember the basic principles in any line of work, such as that we should aim to differentiate on the basis of the value we provide to our clients, not on the price, and to remember that we are selling sophisticated solutions whose true value may only grow over time.

In line with this, I quote Andreas Förster:

“When your client asks you why your competitor sells for cheaper? Because he can!” – and this is very true. High quality solutions are never cheap, but their ultimate value and prevention of language-related disasters makes them cheap in comparison. The real challenge is to communicate this message to the clients and this is why the events like these are organized.

Dynamics, change and adaptation

What I felt was the underlying message of all workshops and presentations was that sales and marketing challenges in the language industry should and can be only addressed by the change of mindsets, understanding the client’s perspective, a proactive approach and keeping up with the dynamics of the times. Every question can be answered if we have a deep understanding of the customer’s requirements and the place, value and requirement for our solutions in their work. The magic word remains because.

Ciklopea’s mission was to teach people how to communicate their messages clearly and accurately across different cultures. She left the Cyclopean walls in Mycenae as a symbol of good translation – the translated content must be strong, consistent and without any holes, just like those walls.

Also, her name is rarely found in the books, the reason being she wanted to show that a good translator must remain invisible and that the translated text should only carry the seal of its author – provided there is one.

During the ceremony the minister of business and trade Gordan Maras congratulated everyone who won the award. He also addressed the importance of corporate social responsibility and investing in employees. “I am especially glad to see many public companies, because I believe they are the ones that must invest greater efforts into achieving corporate social responsibility”, Maras said and added that “CSR is not and should not be the privilege of large companies.”

The minister of environmental and nature protection was also present at the ceremony and she said that she has been successfully cooperating with sustainable development companies for years. She concluded her speech by saying that environmental protection plays an important part in sustainable development.

Other speakers at the event were Deputy President of the Croatian Parliament Milorad Batinić, envoy of the President of the Republic of Croatia, Boris Cota and others who have been directly involved in CBCSD over the past 15 years.

Ciklopea’s CSO Mladen Stojak was handed the award for achievements in corporate social responsibility in the category of small enterprises. Speaking about the success of his company Stojak said that, considering the state of economy in the country, sustainable development can seem like an unattainable goal. Well-defined and quantified parameters exist for evaluation. Upon evaluation each of the six regions in Croatia yields a certain number of companies.
